Privacy Policy

Your privacy matters to us. This policy explains what information we collect, how we use it, and the choices you have regarding your personal data.

Word of Mouth Floors LLC ("we," "us," or "our") operates the website wordofmouthfloors.com (the "Site"). This Privacy Policy describes how we collect, use, disclose, and protect your personal information when you visit our Site, place an order, sign up for our newsletter, submit a consultation request, or otherwise interact with us.

We are committed to protecting your privacy in accordance with Canada's Personal Information Protection and Electronic Documents Act (PIPEDA) and British Columbia's Personal Information Protection Act (PIPA).

By using our Site, you consent to the collection and use of your information as described in this policy. If you do not agree with the practices described here, please do not use our Site.

We collect information that you provide directly to us, as well as information that is collected automatically when you visit our Site.

Information you provide directly:

  • Name, email address, phone number, and shipping/billing address when you place an order or request a consultation
  • Payment information (credit card number, expiration date, CVV) when you make a purchase — this is processed securely by Shopify Payments and is not stored on our servers
  • Email address when you subscribe to our newsletter
  • Any information you provide when you contact us via email, phone, or our consultation forms
  • Project details, flooring preferences, and property information shared during consultations

Information collected automatically:

  • IP address, browser type, operating system, and device information
  • Pages visited, time spent on pages, links clicked, and referring URLs
  • Location data (city/region level, derived from IP address)
  • Cookies and similar tracking technologies (see Cookies & Tracking section below)

We use the information we collect to operate, maintain, and improve our business and to provide you with a better experience. Specifically, we use your information to:

  • Process and fulfil your orders, including shipping, delivery coordination, and sending order confirmations
  • Communicate with you about your order, account, or consultation requests
  • Send you marketing emails, promotions, and flooring tips (only if you have opted in — you can unsubscribe at any time)
  • Manage our customer relationships through our CRM system
  • Improve our website, product offerings, and customer service based on browsing behaviour and feedback
  • Run advertising campaigns and measure their effectiveness through analytics and tracking tools
  • Detect and prevent fraud or other unauthorized or illegal activities
  • Comply with legal obligations and enforce our Terms of Sale

We do not sell, rent, or trade your personal information to third parties for their marketing purposes.

We may share your information with trusted third-party service providers who help us operate our business. These providers are contractually obligated to protect your data and may only use it for the purposes we specify. Our service providers include:

  • Meta (Facebook/Instagram) — for advertising measurement and retargeting
  • Shipping carriers — to deliver your orders (we share your name, address, and phone number as needed for delivery)

We may also disclose your information if required by law, regulation, legal process, or governmental request, or when we believe disclosure is necessary to protect our rights, protect your safety or the safety of others, or investigate fraud.

Our Site uses cookies and similar tracking technologies to enhance your browsing experience, analyse site traffic, and serve targeted advertisements. A cookie is a small text file placed on your device when you visit a website.

Types of cookies we use:

  • Essential cookies — required for the Site to function properly (e.g., shopping cart, checkout, login sessions). These cannot be disabled.
  • Analytics cookies — help us understand how visitors interact with our Site (e.g., Google Analytics). These collect anonymized data about page views, traffic sources, and user behaviour.
  • Advertising cookies — used to deliver relevant ads and measure campaign performance (e.g., Meta Pixel). These may track your activity across other websites to show you retargeted ads for our products.

Managing your cookie preferences: Most web browsers allow you to control cookies through their settings. You can choose to block or delete cookies, though this may affect the functionality of our Site. You can also opt out of Google Analytics by installing the Google Analytics Opt-out Browser Add-on.

To learn more about interest-based advertising and your opt-out options, visit the Digital Advertising Alliance of Canada.

We retain your personal information only for as long as is necessary to fulfil the purposes for which it was collected, including to satisfy any legal, accounting, or reporting requirements.

When you place an order through the Site, we will retain your order information for our records unless and until you ask us to delete this information. If you subscribe to our newsletter, we retain your email address until you unsubscribe. Consultation and CRM data is retained for the duration of our business relationship and a reasonable period afterward.

When personal information is no longer needed, we will securely delete or anonymize it.

We take the security of your personal information seriously. Our Site uses SSL/TLS encryption to protect data transmitted between your browser and our servers. Payment information is processed through Shopify Payments, which is PCI-DSS compliant — meaning your credit card data is handled according to the highest industry security standards.

While we implement commercially reasonable security measures, no method of transmission over the Internet or method of electronic storage is 100% secure. We cannot guarantee absolute security, but we are committed to protecting your information to the best of our ability.
